Who and what this covers
Asphalt Coatings Company, Inc. operates this customer proposal, subcontractor and staff platform. This notice covers information handled through the platform. Our separate marketing website has its own tracking practices. This platform is intended for adults conducting business with ACC, not for children.
Information and purposes
We process contact and company details, service locations, requests and communications, proposals and contracts, signatures, project photos, invoices, payment records and compliance documents to prepare bids, perform work, administer business relationships, maintain records and secure the service. Staff workflows also use employment and work records. Proposal links record first and last viewing times and view counts. Electronic acceptance records the signer name, signature, time, consent wording and document version, together with a hashed IP address and browser information.
Keep submissions relevant
We do not request a government ID photo to sign through this platform. Do not upload Social Security numbers, full payment-card numbers, passwords, access codes or unrelated personal information into messages or general attachments. Some separately requested tax or compliance documents may contain sensitive information; use only the designated workflow and contact ACC if uncertain.
Service providers and AI
Hosting, authentication, database and file-storage providers support this service, including Vercel and Supabase. Depending on the workflow, we use Microsoft services for email, Google for maps and advertising operations, WhatConverts for lead/call information, and Anthropic for AI assistance, document extraction or message processing. AI processing can send the submitted text, selected business records or full source documents to the provider. Avoid submitting unnecessary sensitive information. AI output can be inaccurate; contact ACC about errors. Access may also be provided to personnel, contractors or professional advisers who need information for their work, or where legally required.
Storage and retention
We retain records for their business purpose, accounting, contract administration, security and applicable legal obligations or disputes. Retention varies by record type; ending a relationship does not automatically erase all records. Historical signature evidence may include information collected under earlier workflows. Assistant conversations are not saved in browser storage by this version of the platform; sending a message still involves server/provider processing.

Contact ACC using the phone or mailing address below to ask about your information, request access or correction, or request deletion subject to applicable obligations and exceptions. We may need to verify your identity using information proportionate to the request. This notice does not limit rights provided by applicable law.
